My Narrative ReportIntroduction Informatics Industry Immersion Program where students undergo an on-the-job training before graduation to be familiar with actual operations in industry, business, and service sectors, and enhance their formal education. The On-The-Job Training (OJT) is one of the requirements in order for a student to be able to graduate from college and to become a professional. It is a type of skill development where a worker learns how to do the work through hands-on experience. This training prepares the students to practice their profession. Thus, in adjusting one’s self and mingling to others one must cope up with the different standards and attitudes of the people in a particular field of industry. Advantages of OJT is that by training in the workplace, a new employee also has the chance to get to know the people and the environment earlier. The trainee often gets a chance to interact closely with new co-workers and get practical advice about doing the job. The feedback during on-the-job training is also immediate, so the new employee may experience faster growth in the job than he would in other types of training situations. Dis-advantages of OJT is that it’s difficult to find the right person to conduct on-the-job training. The person doing the training must have the knowledge and skills with the same equipment the learner will be using, the trainer may not be able to teach effectively. If the trainer is too experienced, however, the trainer may forget to explain important steps or use technical words that the trainee doesn't understand. Paperless Trail Inc. (PTI) is a privately owned IT company specializing in mapping products & services, business solutions, and imaging & document management solutions designed to help businesses of all sizes improve their workflow and productivity. Founded in 2003, they have grown to a staff of nearly 100 professionals comprised of software designers, developers, technical support, mappers, imaging production staff, and management. They are based in the Philippines with their head office located in Makati, a development team in Davao and a document management services facility in Bicutan, and are strategically located and highly qualified to provide their clients with practical, innovative, and cost effective IT solutions. Paperless Trail Inc. (PTI) is comprised of three business divisions under which its eight core products are categorized: First is the Mapping Products & Services – a location and tracking-based software designed to empower users with the intelligence their business or service needs to function efficiently and effectively. Their products are Business Mapper – a location based business intelligence tools, Perspective Mobile – mobile asset tracking (vehicles and people) and Routable maps – a nationwide routable maps (Garmin compatible). Second is the Imaging & Document Management Solutions – A scanning and archiving service that creates, manages and secures digital copies of your hard files in one place for quick and easy future reference. Their product is Archive One, a document management system. Lastly PTI offers Business Solutions – an Intelligent tools and programs geared towards improving overall productivity in virtually any type of business or industry. Their products are Online Metrics – a web based training and testing tools. AgilitiNet – a B2B/EDI message switching. Activity Factory – a business process management solutions. my narrative of experience It was 9AM on January 30, 2015 when I was in the Conference Room of the Paperless Trail Inc. in Paseo de Roxas, Legaspi Village, Makati City to undergo my first interview with the PTI Marketing and Product Manager Ms. Pamela Jean Castañeda. I was really nervous at that time and I really don’t know what will be the questions and how will I answer them because it’s my first time to undergo an interview outside the campus. Talking about what you have done and the skills you have used in the past along with experiences you have accumulated will always be important, including the specific examples you hand-pick to illustrate how your abilities lead to outcomes - these were my thoughts for the whole time while the interview was underway. Everything went so very well. After the interview Miss Pam asked me: “When you would like to start? I immediately responded “Can I start right now Miss Pam?” Honestly, I really don’t know why I was so quick to answer that - maybe because I was excited in every work that they will give me. My On-the-Job-Training started exactly at 10:00AM in the same day of my interview. The PTI provided me with my own table that I would use for my whole OJT term. I was placed inside the Production Room with the Production Team with one Technical Support. Miss Pam introduced to me to the Production Team where I met Sir Gerune Gloria - the Production Manager who is responsible for the Mapping and Imaging of the company. I was also introduced to Sir Jeffrey “Jeff” Rapinan - one of the Technical Support of Paperless Trail Inc. Sir Jeff has a space inside the Production Room which he approached me outright and introduced himself, and the other employee inside the room. On the first day, I was given an orientation about the company, their products, their history, and their partners. This is also the time when I was assigned in Marketing to do layouts about their product, data sheets, and revise manuals. On the start of my second week in my OJT, I was given the task to do the Imaging. Paperless Trail Inc has a Document Management System that is designed to help document administrators classify, store and secure, search for and retrieve essential company records. With its advanced search features, Archive One makes searching for all documents fast and simple. A centralized document repository helps save time, reduce costs, improve operational efficiency and provide security for physical and electronic documents. Miss Rowena Jimenez - an Admin Officer, gave me a task to research first what Archive One is and how it works. She also gave me the task of archiving and organizing the files of their PTI Documents since 2011. My first task on the second week is to sort and batch all PTI Documents from different folders, scan it and after scanning, I’ll do the quality assurance of scanned PTI documents. The second day, I did the Check-In and Check-Out of all the Q.A Documents, add index values, and double check it again. After I assure the quality of scanned documents, I will now upload or export it to their Document Management System (Archive One). On the second week, I was also given a chance to create the workflow design of Archive One with the help of Miss Chamie Roque - a Customer Support Officer. She introduced me to Archive One and explained to me how it works. Every week before it ends, I make sure that every file and folder is organized and back in one place. This is one of the things that I learned in Paperless Trail Inc. – having files arranged very well and organized. In holding documents and being part of Imaging, every document is important. All of this happened on my first month in Paperless Trail Inc. for my OJT. On the second month, I was very excited and eager to learn new things. After given a chance to experience and to learn the Archive One, it’s now the time to learn new software which is the MD Charts where I can add, view and edit medicine names, medicinal instructions, and generic names. In MD Charts, I was given a chance to be part of the database team where I will put and research for the generic names of every medicine. Actually, Sir Brian Esteron - an I.T Manager, was the one who introduced and explained every detail of the MD Charts. He also gave me the module to be used, on how will I put the generic names and he wanted me to check and update him if there would be a bug on the said software. In this month, I’ve learned not to ask too much and learn by yourself first. Just do your best and if you can no longer help yourself, then it would be the right time to ask. Moreover, there are hundreds of Medicine Categories and thousands of Medicine and Generic Names. I finished it before the month ended. I double checked every detail I put in the software. Lastly, after doing the MD Charts, I did a research again about the company and other products of Paperless Trail Inc. so that I will be familiarized and be knowledgeable on the next task that will be given to me. The third month was the most interesting part of my whole OJT term. This is the month where I was assigned in the Customer Support and Marketing in which I will do the Product Layout and Graphics Designing. On the first week of the month, I was tasked to create and edit product logo of Archive One, Business Mapper, Asset Tagger and Business Mapper SCADA and do the layout background of the package of the Archive One, Business Mapper, Asset Tagger and Business Mapper SCADA. That first week when I started designing, I thought it would be very hard for me. But the company believed that I will give them a better quality of product designs. Adobe Photoshop is my partner in creating, designing and editing graphics and logos. When I create the designs, I ake sure to study first each of their product, the colors and the meaning of their logos. Through the research about the company products, it helps me to do the designs faster because I already have the ideas on how I will come up with creative designs. Good designs are not enough for the Paperless Trail Inc. The Product Manager took time to study my designs and she suggested and gave me advice to follow the standard designs and rules of each product. In this month also I was called for a meeting with the other Customer Support to know how to create a manual and how the product flows. I’ve learned that before doing a specific task you should first understand everything and always learn the flow or the process. In creating designs, I follow three categories: first is that the design should be standard and creatively made, Second, it should be color matching. Then last is that it should be iconic and unique. Next, I was tasked to create the Infographics of Business Mapper. Business Mapper is a GIS based location analysis tool that utilizes digital maps. It is designed to help visualize the location of customers, competitors, and various other points-of-interest. This results in the more efficient use of a company’s resources. Business Mapper makes mapping extremely simple, as the software comes with ready-to-use digital maps of the Philippines. I started creating Business Mapper because Sir Vincent “Vince” Mikhael Malapitan - a Customer Support Manager asked me to create the design. He is in charge of maintaining the website of each product. Sir Vince gave me the information needed in the Infographics. Infographics is a visual image such as a chart or a diagram used to represent information or data. When I finished the Infographics for Business Mapper, I was asked to create a Web Banner for Archive One and Business Mapper. I also did the the screen shots of the Business Mapper. In addition, Paperless Trail Inc. sent me twice to their partner company so that I could create and edit image for their magazine. When my OJT has come to an end, I was given so many tasks that I needed to finish immediately so that I could pass all my requirements to Informatics College. Luckily, with God’s grace, Paperless Trail Inc. offered me to stay in the company after I will pass all my requirements. I am very thankful and really honored to work in this kind of I.T company which honed me to become a professional. I can say that they really helped me in every step of the way. My stay for more than three months in Paperless Trail Inc. has become very meaningful to me because it helped me grow and as a person and made me realize that OJT serves as our training grounds in preparing ourselves to more challenging life battles in the work place. I am very grateful to Paperless Trail Inc. for accepting me in their company and for training and teaching me a lot of things that will surely help me in my future career and to all the people who helped me make it through, without them I will not be able to accomplish my 575 hours On-the-Job Training. RECOMMENDATION For the incoming OJT student, they must observe good working ethics. Always report to work on time. Cooperate with other co-employee or worker. Strictly observe Company policies and regulations. Be responsible enough to any task given to you. Bring lots of patience in work. Always wear a smile. Be a professional in your work manner and in your appearance. Be hardworking and should practice self-discipline. Distractions must be minimized in the work environment. One advantage to OJT is the fact that it allows the learners to practice their new skills in the real environment in which they’ll be working, using actual tools and equipment; however, this can quickly become a disadvantage if the real world work environment is too distracting for learning to take place. Accommodating on-the-job trainees can truly be beneficial not only to the trainees but also to the companies that provide opportunities for this type of learning. There is wisdom in the front lines. Such training can be an investment that will be valuable to the company later on. This is also why trainees should take their internship seriously as it can become a powerful tool and possibly even a source of recommendation when they take that big lift from being students to career professionals. On-the-job training can be an effective training strategy, providing an employee with an abundance of real world skill and knowledge; however, it must be carefully implemented and facilitated in order to achieve the maximum results
